PRIMARY FUNCTION:

To provide comprehensive administrative support to ChristianaCare Union Hospital Cancer Program. The administrative assistant will perform high-level administrative tasks which will include coordinating the weekly tumor board meetings, supporting the Cancer Program Nurse Manager for the Commission on Cancer accreditation, and assist with other administrative tasks to support the program.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Supports Cancer Program Manager in assigned accreditation standards and program requirements

Assists Cancer Program Manager in monitoring program compliance with accreditation standards and progress toward closing gaps identified.

Assists as assigned with regulatory readiness activities and with maintaining schedule/calendar of accreditation related activities and deadlines.

Coordinates updating and maintenance of policies, procedures, and other documentation related to accreditation standards and requirements.

Performs special projects and other duties related to cancer accreditation and Cancer program as assigned.

Attends each Tumor Board - either in-person or remotely, to prepare cancer conference documentation (agenda, minutes, and attendance log), coordinate all audio/visual needs for the cancer conference, --- Coordinate with Radiology, Pathology, Physicians, and outside facilities to ensure all patient records needed for conference are available ---

Document minutes during conferences, preparing, completing, and maintaining Commission on Cancer conference/tumor board documentation.

Prepares CME/CEU accreditation paperwork, submits applications, and maintains CME/CEU records as appropriate. ---

Assists Oncology Navigation Team with administrative tasks related to Patient Assistance Fund and assistance with scheduling patients for appointments or other identified resources

Demonstrates compliance with Christiana Care and departmental policies and procedures and mandatory education requirements including but not limited to safety, infection control, attendance and dress code

Performs assigned work safely, adhering to established departmental safety rules and practices; reports to supervisor, in a timely manner, any unsafe activities, conditions, hazards, or safety violations that may cause injury to oneself, other employees, patients and visitors.

Performs other related duties as required.

SCOPE, PURPOSE, AND FREQUENCY OF CONTACTS:

Frequent contact with Cancer Program Manager, Oncology Navigation Team Christiana Care staff, patients, community providers and general public. Interaction with other programs and Christiana Care personnel as relevant to program function and decision making

Nurse Manager Cancer Program

EDUCATION AND EXPERIENCE REQUIREMENTS:

High school graduate required. An Associate Degree preferred.

Five years' work experience in administrative or secretarial positions showing job duties of increased responsibility and/or complexity. Minimum of two years' work experience in healthcare.

An equivalent combination of education and experience may be substituted.

KNOWLEDGE, SKILL, AND ABILITY REQUIREMENTS:

Ability to work in a fast-paced environment. Adaptability and flexibility to changes in work environment are essential.

Proficient in multi-tasking, problem-solving, prioritizing, organizing and planning.

Ability to work independently and in a collaborative team environment, consisting of a diverse population

Excellent communication (oral and written), and interpersonal skills.

Proficient in Microsoft applications, CCHS products and programs and standard office equipment.

Ability to manage stress and stay calm under pressure

Demonstrates ability to work autonomously

PHYSICAL DEMANDS:

Prolonged periods of sitting, reading a computer monitor. Some standing, walking around CCUH campus, bending, light lifting, pushing, pulling, and carrying

WORKING CONDITIONS:

General pleasant office environment. Occasional after hours, early morning, and/or weekend work required. Routine day shift, Monday - Friday
