Job Description:

The Administrative Coordinator is responsible to provide administrative and technical support to the leadership staff of the Quality and Safety team: Quality, Patient Safety/Risk Management, Data Analytics and Infection Prevention. Works independently on various assignments and under supervision of the Executive Team Coordinator. Excellent written and verbal communication skills are a must. Acts as a first point of contact for internal and external queries. Must have the ability to prioritize and work independently on projects, from conception to completion. Must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. Has the ability to use feedback for improvement. Familiarization with the various databases utilized by the Departments is required in order to generate reports.

  • Manage the schedules/calendars for the various leaders of the Quality and Safety Team. This includes setting appointments, making travel arrangements, registration and accommodations for conferences and checking in daily/weekly to prioritize meetings and arrangements. Resolves meeting conflicts and handles reschedules to accommodate more urgent time sensitive requests. Keeps managers informed of upcoming appointments and deadlines. Ability to work independently, set and reach goals, exercise judgement and maintain confidentiality.
    • Handle incoming calls with courtesy, providing assistance and information as needed. Ability to interface with external and internal customers with high degree of confidentiality and professional demeanor. Must be able to communicate and interact with individuals at all levels of the organization.
      • Record and maintain minutes for various Committees supported by Quality and Safety leaders, i.e., Infection Prevention Committee, etc. Excellent verbal and written communication skills.
        • Coordinate meetings with internal and external representatives, prepare agenda and handouts, schedule room and equipment, and arrange for meals (as needed).
          • Coordinate and arrange travel plans for the various Leaders and staff members of Quality and Safety.
            • Prepare and process expense reimbursements, payment requests, etc.
              • Responsible for ordering supplies for the department via W.B. Mason and Lawson internal ordering system. Manages resources prudently.
                • Provide backup coverage to other members of the Quality and Safety team. Willingness to accept change, be flexible with schedule and responsibilities as well as strong team and interpersonal skills.
                  • Prepare Payroll submission for various members of the Quality and Safety team and maintain time away calendar.
                    • Maintenance and typing of data files and spreadsheets. Detail oriented and strong organizational skills. Ability to self-teach and learn quickly independently.
                      • Prepares and organizes various reports for the Quality and Safety team as needed. Preparation of confidential and/or sensitive documentation; handle diversified duties and multiple open projects. Ability to handle problems in a calm and responsive manner, while juggling multiple competing interruptions, tasks and demands.
                        Qualifications:
                        • Associate's degree required
                        • Must have administrative experience
                        • Must have high competency level with Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams), Adobe Acrobat and Social Media Platforms.
                        • Innovative thinking needed when utilizing systems and creating reports/forms.
