Job Description Greenville Country Club Position Title: Director of Catering Reports To: General Manager II. Primary Purpose of Job Responsible for all catering sales, event planning, club functions, marketing and administrative support to promote club facilities. This person must consistently provide the highest level of service to members and their guests while maintaining active communication among critical departments within club operations. III. Major Responsibilities ? Assists members and guests with arranging banquets, luncheons, meetings, weddings, dances, and other social events; via handling banquet telephone calls and inquiries to book potential functions, make changes to upcoming functions and answer questions, and by scheduling site visits of the club's facilities. To perform these responsibilities requires thorough knowledge of all upcoming function sheets, major club events and calendars, seasonal availability of each location and knowledge of how to maintain and administer information for banquet and club function events. ? Review catering invoices before being sent out. ? Responsible for special function files and ensuring all pertinent information including function sheets, notes, diagrams, invitations, special menus, and financial information are included for each event. ? Communicate all necessary information about upcoming events to all production, serving, and housekeeping department heads for the proper and successful execution of all events. Attend and be an active participant in weekly food and beverage meetings to review upcoming function sheets and related activities. ? Assist as needed with typing, layout, updating, printing and marketing of catering materials and special event menus for weddings, banquet events and special functions in addition to other projects ? Suggest menus and work with Chef to maintain menus that are attractive and exceed expectations of members and guests. ? Work with Clubhouse Manager, General Manager and Executive Chef to determine proper selling prices and policies for catered events. ? Responsible for securing outside rentals and entertainment for club events ? Assist members and guests with confirming valet parking, entertainment, audio/visual equipment and any other large-scale event rentals (tables, chairs, linen) integral to events being planned. ? Maintain recommended vendor list and offer assistance in referring services for entertainment, d--cor, and other aspects of themed events. ? Ensure that client complaints go through the appropriate channels. ? Maintain a neat, professional appearance at all times. ? Maintain a flexible schedule to work weekends, some regularly scheduled days off for holidays & club events. ? Maintain the events calendar for the Club. ? Consolidate member events onto a single calendar. ? Attend monthly committee meetings including social activities committee and dining committee. ? Responsible for marketing Club events through member bulletin. IV. Knowledge and Skills Required ? The educational requirement for this job is a high school degree followed by an Associates or Baccalaureate degree; suitable work experience may be substituted for part of this requirement. ? The work experience requirement for this position includes at least one-year employment as a full-time administrative assistant/secretary and/or two years involvement with catered and banquet events. ? Computer literacy and proficiency in the use of PCs is required including knowledge of Microsoft Office, Excel, Microsoft Word and Jonas Catering Software a Job Type: Full-time Salary: $40,000.00 to $45,000.00 /year About Greenville Country Club Since the Clubhouse, formerly the home of Mr. and Mrs. Eugene DuPont who had it built in 1915, was acquired in 1961, many families have called Greenville Country Club their second home. Develop existing business and solicit new catering business through catering lead generation and catering sales marketing Managing catering team for all events Prepare monthly catering sales forecast Oversee internal and external catering events Overseeing all catering events for the account Developing and presenting various catering menus Participate in all catering training programs Oversee all merchandising and marketing for catering events Identify and pursue additional catering clients Leading and motivating the catering team Create catering menus with the district manager/food service directors Executing catering events from managing, hiring and training of the catering staff to meeting, planning, costing and bringing to fruition fabulous catering results Preparing the annual sales & catering budget Obtain client requirements to execute catering contract Maintain an extreme customer service approach to catering clients Meeting various catering requests or many diverse customers Coordinate and oversee internal and external catering events You will develop and maintain the catering marketing plan including a comprehensive event planning service to clients and detailed menu development Coordinate and oversee internal and external catering events Provide direction and supervision to team members to execute catering events Provide direction and supervision to team members to execute catering events
