Office ManagerOn Site Marketing, Inc.On Site Marketing, Inc. is a Field Sales and Marketing company that has been in business since 1996. We specialize in developing customer acquisition programs for service companies such as Verizon, Comcast, AT&T, and NRG Energy. Our Sales Agents operate in high traffic venues such as big-box retail, grocery stores, and airports as well as stadiums, and special events.We are looking for someone to take responsibility for managing and overseeing the operation of our Corporate office(s) in West Bradford, PA and support our office in Oakbrook Terrace, IL as well as small, shared offices in Philadelphia, Cleveland, and Baltimore. Travel is not a requirement for this position.This full-time role will include providing a full range of office management, administrative, and accounting duties including:Day-to-day running of the officeAdministering and processing weekly payrollMaintain employee personnel information, including updating personnel files, cataloging performance reviews, and tracking attendance recordsRecord and track the Agent on-boarding and training process which includes verifying completed trainings, proper recording of required documents, and entering Agent information into client activation portals.Handle accounts receivables and payables, create customer invoices, and reconcile credit card accounts for three entities.Reconcile bank statements and work with the company's CPA on quarterly and year end taxes.Support Regional Managers in their administrative duties and keep them informed of any HR related issues in their respective markets.We all wear a lot of hats here and there may be other duties and initiatives we ask you to take on.Applicants must be proficient with Quick Books accounting software and understand basic accounting principles. Advanced knowledge of MS Office Suite and the ability to coordinate multiple projects simultaneously on a regular basis. Familiarity with third party payroll providers (Paychex, ADP) is a must. Must be self-motivated and detail oriented; ability to work independently.
