Job Description Job Description OVERVIEW The Project Coordinator
works to support the program in meeting required annual performance
goals, such as but not limited to: service level, service to
most-in-need, community service hours, follow-ups for Q2 after
exit, Q4 after exit, and median earnings, participant, host agency
supervisor, and employer customer satisfaction, CWI’s annual
unsubsidized employment goal, spending annually allocated program
funds, etc. RESPONSIBILITIES Oversees the program supports work of
job seekers assigned to CWI Eastern Shore for their community
service assignments. Conducts outreach activities (such as
distributing flyers, present to groups) to promote programs and to
recruit prospective job seekers, host agencies, and other program
partners and stakeholders. Contacts job seeker applicants and
performs initial intake interviews to determine program
eligibility, calculate income eligibility, and identify personal
strengths, needs, financial status, and barriers to program
participation and employment. Orients job seekers to all SCSEP
policies and procedures, including, but not limited to, expected
workplace behavior; rights and responsibilities of the job seeker;
SCSEP mission, payroll procedures; workplace safety, durational
limit, etc. Develops individual employment plans (IEPs) and job
search plans to identify appropriate community service assignment
and host agency placement; Provide regular and consistent case
management services to job seekers such as refer job seekers to
other supportive services when needed (such social services,
housing assistance, transportation, Social Security, food
insecurity, etc.), assist with a change in community service
assignment, ensure job seeker fulfills their IEP commitments,
communicate job openings, coach job seeker on positive work
behaviors for success, follow-up with former job seekers to collect
performance data and assist with unsubsidized employment retention
as needed, etc. Plans and conduct regular job clubs in each county
to assist job seekers with unsubsidized job readiness activities
such as resume preparation, preparing for and carrying out job
interviews, etc., Updates IEPs, Assessments, Reassessments, and
Transitional IEPs timely Assists placement of SCSEP job seekers
into unsubsidized jobs. Completes all required documentation timely
including but not limited to case notes, program forms or other
documentation, and required reporting. Enter required data from
documentation into database(s) as needed. Respond to and work with
SCSEP Program Officers, Center Managers, and other staff regarding
monitoring, compliance, and data-validation, Apricot 360 and/or
GPMS data entry. Contacts and meets with prospective host agencies
for recruitment and orients new host agency supervisors as needed.
Follow program policies and procedures. Develops and maintains
partnerships and cooperative relationships with any potential
partner such as public workforce, business and industry, aging
agencies, economic development agencies, and education and training
providers, etc. Assists with coordinating SCSEP efforts with public
workforce system, State SCSEP Coordinator, and local Area Agencies
on Aging and other community-based organizations and services in
CWI Maryland SCSEP counties. Follows operating procedures, program
policies and regulations, personnel policies, and complaint
resolution procedures. Assists with planning and implementation of
projects including, but not limited to, annual recertification,
Older Americans Month, National Employ Older Workers Week, Digital
Certification Training, program and fiscal compliance reviews, job
fairs, data validation, Participant, Host Agency, and Employer
Satisfaction surveys, etc. Attend CWI events (virtual or in person)
such as staff meetings, job fairs, Equity Summit, etc. Assists with
and provides support for biweekly payroll process as needed. Travel
as required. Submits accurate reports and maintains records, as
required. Support effective satellite office operations such as
assisting with monitoring supplies, mailing letters, monitoring
equipment functioning, as needed. Other duties as assigned.
KNOWLEDGE, SKILLS, AND ABILITIES Prior experience monitoring and
supporting the work of staff, volunteers, or interns. Ability to
work independently and ensure high quality projects and customer
service. Demonstrated ability to communicate effectively with
diverse audiences in a variety of ways. Ability to multi-task with
strong time management and organizational skills. Comfortable with
accurate, basic arithmetic (addition, subtraction,
multiplication/division) Experience working on and with a team and
working in a fast-paced environment with strong customer service
skills. Strong written and verbal communication skills, including
public speaking and training experience. Experience providing job
readiness skills and tools training for job search. Knowledge of a
customer relationship management (CRM) tool is a plus; Establish
and sustain effective relationships with partners. Ability to
proofread a finished, typed document accurately, including
grammar, style and spelling. Demonstrated skill proficiency with
MS Office Suite products (Outlook, Word, Excel, Teams, PowerPoint;
other office-productivity software, such as Zoom, Adobe Acrobat,
Comfortable conducting basic internet research. QUALIFICATIONS
Bachelor’s degree from an accredited college/university or
equivalent experience in lieu of a degree Prior experience with
entering data into database systems. Progressively responsible for
direct service work experience with employment and training and/or
aging programs, preferred. Min 3-5 Experience with low income
and/or minority older adults preferred. Min 3-5 years of experience
in outplacement or hands-on experience helping disadvantaged and
unemployed individuals return to work is a plus. Being a resident
of Eastern Shore of Maryland or familiarity with community-based
agencies in the Eastern Shore region is a plus. POSITION LOGISTICS
This position is a hybrid role that combines office days with
telework/remote days. The hybrid schedule will be based on
responsibilities, meetings, and deliverables. Candidates must be
flexible and able to respond to changing priorities. Travel up to
25%.
