Job Summary:
The Documentation/Electronic Data Coordinator provides accurate and
timely responses to customer documentation requests. The
Coordinator routinely interfaces with customers and internal
stakeholders and uses influence without authority to obtain and
assemble information cross-functionally. The Coordinator will
operate a computer to compile, maintain, and store electronic
documents in the documents database while also administrating the
Master Control document creation process.
*Essential Functions:
Lead or assist in coordinating necessary filing documents for
submissions including questionnaires, inquiries, complaint
responses, certificates of conformance (CoC), etc
Review documents for accuracy and completeness
Assist with records retrieval during audits
Categorize, file, and retrieve physical and electronic documents
within the manufacturing/production departments
Formats documents, issues documentation control numbers, and enters
information, using computer and word processing software or other
word processing equipment
Types, revises, and combines material such as correspondence,
reports, records, forms, scientific or technical material,
numerical data, and tabular information, from rough draft,
corrected copy, or previous computer versions.
Maintain and update logs, databases, and catalogs
Maintain files of drawings, specifications, reports, proposals, and
other documentation on electric and hard copy medium.
Keep records/logs of document retrievals, updates, distributions,
and removals
Controls distribution of documentation to internal and external
custodians as needed
Auditing controlled copies for updates
Makes Engineering Change Orders info cards in Master Control
Associate
Performs routine tasks as directed and under close supervision
Intermediate
Responsible for increasing knowledge skills and abilities in this
position
Completes routine tasks under moderate supervision
Senior
Completes more complex assignments with little supervision
May assist less-experienced team members
Advanced
Performs the most advanced tasks with little to no supervision
Participates in failure investigations as part of a
cross-functional team
Works closely with engineering, operations, and quality leaders
May assist less-experienced team members
Qualifications:
Must be able to access shared database with government programs and
access all areas of the facility (U.S. Citizen or Permanent
Resident of the U.S.)
Associates Degree in Applied Science, Quality Assurance, Industrial
Quality Management, or Business is preferred; Certificates in
Quality Management will also be considered
Associate level must have 1 year of experience; Intermediate level
2- 4 years of experience; Senior level 5-6 years of experience;
Advanced level 7+ years of experience
Specific experience with AS9100 D and ISO 90012015 is preferred
Demonstrated proficiency with Office 365; experience with ERP
systems required
Demonstrated, exceptional attention to detail required
Demonstrated ability to communicate effectively in written, oral,
electronic forms
Demonstrated ability to resolve conflicts; work well under
pressure, act quickly and decisively using sound judgment
